Dematerialization of files: a lever for efficiency for agents and quality for data

To allow its agents to concentrate on processing files rather than manual data entry, a public body has hired a large-scale dematerialization project.

Building on our electronic document management (EDM) solution and our processing chain, we were able to absorb a volume of 60 files per month, With a quality rate greater than 99%.

Result: a time-saver, significant for the teams, a better reliability data, and a delivery of information on time.

The agents were faced with a double bind : A large volume of files to process, and a manual entry tedious in the information system. This situation slowed down the processing of requests and increased the risk of errors. To streamline the process, the client decided to rely on us to process data quickly while ensuring its quality

A progressive approach

Initially, the files (digitized by the local missions) were sent to our dedicated team, which ensured the manual data entry directly into the EDMThis transitional solution made it possible to respond to the operational emergency, without waiting for the implementation of an automated chain.

In a second time, our RAD/LAD processing chain was deployed to automate data extraction and optimize costsThis development has made the process more reliable, while maintaining a high level of performance.

Concrete benefits for teams and client information systems

  • Time saving for agents: refocused on analyzing files, they are no longer mobilized on data entry;

  • Enhanced data quality: reliability rate greater than 99%, to limit manual rework;

  • Cost optimization; thanks to the implementation of an automated processing chain;

  • Improved user experience: users have direct access to the EDM for seamless, centralized tracking.
